Valtti+ Service
Valtti+ Service is a service designed to assist contractors in managing documentation that proves the work rights of foreign employees, as well as permits and qualifications for all employees. With Valtti+ Service, you can share the aforementioned information with main contractors if desired. Additionally, the contractor can add their company logo to the Valttikortti.
Ordering a Valtti+ License:
You can activate the Valtti+ Service in the Employee Management section under the "Order Valtti+" tab.
Any company account user with Employee management access rights can activate service.
Choose the license type:
- One employee (If your company has only one employee)
- Multiple employees (If your company has more than one employee)
- Finally, accept the terms of service and click the "Subscribe" button.
Cancellation of Valtti+ License:
- If desired, you can cancel the license from the "Order Valtti+" tab by clicking the "Cancel subscription" button.
- The cancellation will take effect at the end of the billing period.
Changing License Level:
- Upgrading the license level is possible during the billing period.
- Downgrading the license level is possible but takes effect at the end of the billing period.
Validity of Valtti+ License:
- You will know that the license is valid when you see a new tab called "Information Sharing" in the Employee Management navigation bar, and a new column "Qualifications" appears on the employee row.
Adding competences to an Employee:
- Go to the employee editing view and scroll down.
- Click "Employee competences" and "Add competence"
- Choose the qualification type from the drop-down menu.
- Add the validity period
- Finally, upload or drag and drop the qualification image.
- When you are ready, press "Save."
Adding Residence Permit to an Employee:
- Go to the employee editing view.
- Click "Residence Permit Card" and "Add New Residence Permit Card"
- Fill in the required details:
- Validity period (Date)
- Issuing country (Choose from the dropdown menu)
- Document number
- Upload the residence permit card by dragging or selecting the file from your device.
Adding A1 Certificate to an Employee:
- Go to the employee editing view.
- Click "Add New A1 Certificate"
- Add the expiration date of the certificate
- Select the issuing country from the dropdown menu
- Upload the certificate file by dragging or selecting the file from your device.
- When you are ready, press "Save"
Adding Identity Card to an Employee:
- Go to the employee editing view.
- Click "Identification document"
- Click "Add new identification"
Add the details:
- Valid until (Until when the passport or ID card is valid)
- Type (Choose passport or ID card from the dropdown menu)
- Nationality (Select nationality from the dropdown menu)
- Upload the identity card file by dragging or selecting the file from your device
- When you are ready, press "Save."
The filtering of documents and competences
- You can filter competences or documents using the filter icon located on the right side of the search field
- You can filter competences by selecting from the dropdown menu:

- Select the competence type to filter from the dropdown menu

Automatic reminders
- The Valtti+ system sends email reminders to the employer if employees have documents that are about to expire.
- Reminders initially concern identity cards, residence permits, and certificates for posted workers. Reminders regarding qualifications will be added to the system later.
- Reminders are sent twice a month (on the 1st and 15th of each month).
- Reminder emails are sent if there are less than 30 days left until the document expires at the time of the reminder.
- Reminders are no longer sent once the document has expired.
- The reminder includes both the employer's name and information about how many individuals have documents that are about to expire, but the names of the employees are not included in the email.
- The content of the reminder is sent to the company's email address defined on the "Contact Information" page in the personnel management system and to the address of the "Contact Person for Employee" defined individually for each employee. The message is not sent to the employee themselves.
Guidelines for Document Photography:
- Accepted file formats: PDF, jpeg, jpg, and png.
- Take a photo directly above the document.
- Avoid reflections; do not use flash.
- Crop the image so that only the requested document is visible.
- Capture images from both sides of the card/passport/certificate.
- Maximum file size is 10 MB.
- If uploading a multi-page document, create separate image files for each page and add them in the correct order.
- PDF files can be multi-page.
- Note that the employer is responsible for the readability of the documents.

Permission:
A company that has subscribed to the Valtti+ service can provide rights, primarily to main contractor companies, to access information related to workers. This can be done from the "Permission" tab.
- Select "Permit organization"
- Enter the business ID (Y-tunnus) in the field for the company you want to authorize.
- Authorization can be given to a company with a Business Account.
- Search for the company, and when found, click on it and finally press "Accept"
- You can stop information sharing by clicking on the "Revoke access" button next to the company.
Adding Company Logo to Valtti card:
A company with a Valtti+ license can now add its logo to the Valtti card. The logo can be added using the logo editor during the ordering process. The logo should appear in the bottom right corner of the Valtti card in black and white.

How do I know if the license is valid?

I ordered the Valtti+ service; when will I receive the invoice?
- You will receive the invoice approximately 2 weeks after placing the order.
- The invoice will be sent according to the billing method selected in your company account.
I have Taitorekisteri in use; what happens to this service?
- The competency information from Taitorekisteri will automatically transfer to Employee Management if you have a Valtti+ license.
- Taitorekisteri will be closed.
What is the source of qualifications and documents in Valtti+ service?
- The employer is the source.
- An exception is qualifications obtained directly from trainers.
How can I see the source of a document?
- The source is mentioned alongside the documents, which could be the employer or a trainer, for example.
For what purpose are the data collected in Valtti+ used?
- For legal obligations arising from the Occupational Safety Act, the Aliens Act, the law on posted workers, and general safety practices.
How much does a Valtti+ license cost?
- For a company with one employee in Employee Management, the cost is 50 euros per year.
- For a company with more than one employee in Employee Management, the cost is 250 euros per year.
