Why do I need to identify myself when logging in?


Using the Employee Management service requires electronic identification.
Authentication improves the security of the service, helps prevent misuse, and ensures that your company’s employee data is as well protected as possible.
Authentication is a one-time process and is completed electronically using online banking credentials or a mobile certificate. Detailed instructions are available here.
Authentication verifies that you are who you claim to be, which is why it must be completed using your personal credentials.
No banking details are stored by Vastuu Group. Only confirmation of successful authentication and the necessary information to link the authentication to the user are stored.

What should I do if I don’t have Finnish online banking credentials?

You can also authenticate using:

SmartID (for Estonian, Latvian and Lithuanian users)
FrejaID (for Swedish users)

At present, authentication is only available using Finnish online banking credentials or mobile certificate, SmartID (Estonian, Latvian, Lithuanian) and FrejaID (Swedish).
Company account verification is currently only possible for Finnish companies registered in the Trade Register.
We are developing solutions for users from other countries and for companies not listed in the Finnish Trade Register.
For this reason, company account verification and cardholder authentication are currently optional.


How are company contact details used?

 

Contact details are used for example:

Sending service-related notifications
Sending reminders about expiring employment relationships
Occasional service-related communication



Why does the service only suggest certain persons as contact persons?

 

Only a user who has access rights to the company’s Employee Management can be added as a contact person.

The Email field dropdown only shows users
If the person is not listed, first grant them access rights and then add them as a contact



Why has the company contact person been removed?


If the contact person information has disappeared, it most likely means that the user no longer has access rights to the company account.
Please add a new contact person.



Why is the industry information required?


The employee must have an industry assigned so that we know which tax number register to use for verification.
The industry also affects the Valtti card:

If the industry is changed, the card will be closed


What if the employee does not work on a construction site?

You can order a Valtti general card for office use.
The general card does not require a tax number.


What is a foreign employee’s personal ID number?


The personal ID number is the number found in the employee’s passport or identity card.
The employer must request this information from the employee.
This number is required for identification when activating the card.


Why are employee contact details required?


Employee contact details are needed to order a new Valtti card.
The card must be confirmed via user authentication.
We need either an email address or phone number to send the authentication link.


What is an employee contact person and why is it required?


Each employment relationship must have a contact person.
The contact person is used for:

Notifications about expiring employment relationships
Requests for corrections to employee data
Important service-related communication
Managing employee data (filter "My employees")


How can I update contact persons for many employees at once?


You can use the import/export function:

Download the example file
Enter the employee’s tax number and the contact person’s username
Upload the file using “Import employee data”

You can also export all employee data to Excel or CSV.



Why has the employee contact person been removed?


This usually means the user no longer has access rights to the company account.
Please add a new contact person.



Why do I need to confirm employment?


Employment must be confirmed at least every two years to ensure the tax number remains active in the construction industry register.
The Finnish Tax Administration regularly removes inactive tax numbers.
Confirming the employment ensures the tax number stays valid. 


Why is the tax number status "Pending"?


There may be a short delay in tax number verification.

How do I rotate an image correctly?



Open employee details in edit mode
Click Edit under the image
Use the arrows to rotate
Save


Why doesn’t the employee photo update immediately?


It may take a moment for the thumbnail to update.
You can proceed with the order even if the image is not yet visible.


Why are some employee photos missing?


Some older photos do not meet current requirements and were not transferred.
Please upload a new photo that meets the requirements.


How can I export employee data?


Use the Import/Export menu → “Export to file” to download data in Excel or CSV format.
